JOB SUMMARY: This position is responsible for facilitating requests regarding patients (and potential patients) of the organization. Promptly and professionally takes phone calls, facilitates new consultations, safely and securely transmits medical records, and coordinate schedules with requested provider, etc. This individual should and will delight those who come in contact with them and creates an efficient and pleasant experience for those they interact with. Will be highly sought out to correctly answer questions, providing information and coordinating communication between patients and/or family members and the appropriate staff.

REPORTS TO: Director of Patient Financial Services

PRINCIPAL DUTIES: (This list may not include all the duties assigned.)

· Complete requests for release of medical information as outlined by office policies and procedures, following HIPAA guidelines while maintaining patient confidentiality always.

· Assist physicians, facilities and patients and/or families with establishing appointment times within our facility.

· Answers telephone, screens call, takes messages, and provides information.

· Prepare new patient packets and forms for mailing.

· Receives and sends faxed information and distributes it as appropriate.

· Assists the billing department with various assignments; including but not limited to pre-authorizations, insurance verification, charge auditing, payments, posting, and other requests.

· Conduct initial patient financial arrangements and assessment and prepare appropriate documentation for the Patient Advocate Team

· Extensive knowledge of patient registration and scheduling processes

· Knowledge of medical terminology and privacy guidelines

· Ability to establish and maintain effective working relationships with patients, employees, physicians, and the public.

· Attends required meetings and participates in committees as requested.

· Excellent communication and interpersonal skills to communicate clearly and effectively both verbally and in writing with a wide range of individuals at all professional levels.

· Ability to maintain composure, using tact and diplomacy during interactions with people experiencing a high level of stress and/or anger.

· Demonstrated strong analytical and problem-solving skills.

· Ability to use independent judgment to resolve problems and make decisions utilizing established policies and procedures while handling confidential matters.

· Demonstrated ability to prepare accurate and concise documentation and make recommendations for the resolution of patient complaints.

· Demonstrated ability to work independently.

· Working knowledge of Medicare and Medicaid legislation and third-party payer contracts. Demonstrated knowledge of how these programs/regulations affect the functions and role of the business; ability to incorporate them into departmental systems/processes.

· Ability to organize work to accommodate special projects, deadlines, and priorities; ability to be both flexible and adaptable.

· Ability to maintain confidentiality and discretion when discussing patient matters.

· Computer skills necessary for e-mail, letter writing, data collection, and reporting.

· Ability to communicate, works as a team member, and interact effectively with their caregivers, other medical team members, and representatives of county and community agencies.

· Strong ability to work as a team member and to identify and resolve problems.

TYPICAL PHYSICAL DEMANDS:

· Requires full range of motion including handling and lifting patients, manual and finger dexterity, and eye-hand coordination. 

· Requires standing and walking for extended periods of time. 

· Occasionally lifts and carries items weighing up to 50 pounds. 

· Requires corrected vision and hearing to normal range. 

· Requires working under stressful conditions or working irregular hours. 

· Requires exposure to communicable diseases or bodily fluids.

TYPICAL WORKING CONDITIONS:

· Work is performed in an office environment and requires desk work. 

· Frequent contact with patients and third-party agencies. 

· Contact may involve dealing with angry or upset people.

EDUCATION: High school graduate or GED. Associate or College degree preferred.

EXPERIENCE: Minimum of one-year experience in a medical practice.
